We are seeking your help so that together we can construct a Berkshire-wide Directory of Scout Groups and Explorer Units.

The requirement for a Berkshire-wide Group and Unit Directory.was identified by DCs at a County Management Team meeting and is one of the short-term actions of the Plan for the County which can be viewed at www.berkshirescouts.org.uk/development.

Amongst its many uses, the Directory will be an essential tool if we are to make full use of the inquiries which arise daily from the Berkshire Website, from the Opportunities Hotline and by email from young people and adult volunteers who want to get involved.

This set of forms has been sent to the DC for each of the 12 Districts in Berkshire. Please let us know who in your District will be handling the process and ensuring that the forms for each Group and Unit are completed. We have set a target of 7 May 2005 to have all the forms returned.

As well as this paper version, the forms are available as MS-Word documents or as Adobe PDF files from the Berkshire Scouts Website if you prefer to complete them electronically. For both formats please follow the County Publications Link on the front page menu at the website www.berkshirescouts.org.uk.

You can opt for blank forms or pre-filled versions. You can email the completed Group and Unit forms if you have completed them electronically to groupandunitdirectory@berkshirescouts.org.uk

The enclosed form asks for some straightforward information as to who to contact for each Group and Unit, where and when they meet and the sections where there are vacancies for new members. We have pre-filled the information available from the 2005 census and with information your District may have provided recently.

The form also provides an opportunity to flag up resources that a Group or Unit may be willing to loan or hire to other Scout Groups or Districts. This could provide some additional income to that Group or Unit as well as ensuring effective use of the resources that we collectively have. Of course at all times the Group or Unit will be able to select whether to loan/hire the resources to a particular Group/District for an event.

We have also taken the opportunity to seek your help in providing some information on the programme side of Scouting in each Group or Unit. This includes the size of the team in each section, the number of nights away and on the numbers of top awards gained. This information will be invaluable to the District and County Programme Support Teams and it will enable them to focus their support in the areas of most need. We have pre-filled the form with information on Nights Ways and Top Awards which your District may have provided recently.

The information provided on the form will be collated by the County Support Team to produce a Berkshire-wide Scout Group Directory. The information contained in this form will be held in accordance with the Data Protection Act and the guidelines issued by The Scout Association for use in connection with Scouting in Berkshire. The information will not be passed on to any other organisations.

It would be a great help if you could complete the process by 7 May 2005. We appreciate that all the adult volunteers involved in Scouting have limited time available. The information will provide a valuable resource for District and County Support Teams, so if you are likely to need more time please do let us know.
